Which processes should you digitize first?
Digitizing everything at once is neither possible nor wise. The right question is: with limited time and budget, where do I get the most value?
The most common mistake in digitalization is starting with the most visible or “coolest” area. The right start is where you hurt most and lose the most money. Here is a simple framework for prioritizing.
3 questions for prioritizing
- When this process breaks, do I lose money directly? (late collections, stock-outs)
- How often does this process repeat? (daily or monthly?)
- How expensive is a mistake here? (wrong payroll, lost goods)
The process that answers “high” to all three is where you should digitize first. For most SMBs, that is cash flow.
Typical priority order
1. Accounts and cash tracking
Who owes you what, what you owe. Pre-accounting usually gives the highest return because it directly protects cash flow.
2. Stock
If you work with physical products, stock is second. Dead stock and stock-outs are both expensive.
3. Sales and quotes
Quotes and CRM become critical as sales volume grows; a lost quote is lost revenue.
4. HR and people
As headcount grows, HR, time & attendance and payroll come in.
The order varies by business — stock for a manufacturer, projects for a consultancy may come first. But the principle is the same: start where it hurts most, expand once it settles.
